The Challenge
When Manual Renewals Become a Liability
For Horizon (CBORD), renewal processing was a recurring operational challenge. Each renewal cycle required staff to manually handle quotes, validate contract data, and convert records across multiple steps in NetSuite. The process was time-consuming and left significant room for error.
Complicating matters, incoming renewal quotes weren’t always clean. Missing contract dates, inactive items, and varying fulfillment requirements across warehouse locations made it difficult to reliably move renewals through to financial and fulfillment records. A single bad record could disrupt the process, and with no systematic way to isolate problems, the team was left managing exceptions by hand alongside their normal workload.
At scale, the manual approach simply wasn’t sustainable.
The Solution
A Controlled Automation Engine Takes Over
SuiteRep built a renewal processing engine inside NetSuite that takes eligible renewal quotes from contract through invoice without manual intervention. Using a Map/Reduce framework, the system identifies renewal quotes ready for processing and runs them through a structured transformation pipeline: Quote to Sales Order to Item Fulfillment to Invoice.
Before any record advances through the workflow, the system validates it for data integrity. Records that pass move forward automatically. Those that don’t are isolated, logged, and flagged for review without halting the rest of the batch. This means clean renewals are never held up by problem records, and exceptions are clearly documented rather than buried.
To handle varying fulfillment needs across locations, the system dynamically generates separate Item Fulfillments by warehouse from a single Sales Order, keeping the process accurate regardless of where inventory is being fulfilled.
