The Challenge
When Manual Entry Becomes the Process
For Advanced Packaging, processing intercompany orders in NetSuite meant following a multi-step transaction flow: Quote to Sales Order to Intercompany PO to Intercompany SO to Work Order. Each step serves a clear purpose, but the process had a costly flaw.
Key fields like memo, unit of measure, and estimated ship date were not carrying forward from one transaction to the next. That meant team members had to manually re-enter the same data on every transaction line, sometimes across orders with around 50 lines, every time a large order moved through the workflow. On days with major orders, that manual entry alone could consume a couple hours of productive time.
The repetition was not just time-consuming. It also introduced the risk of inconsistent data entry, where the same information entered by hand multiple times across a process is always a candidate for small errors that compound over time.
The Solution
One Script, Three Records, Zero Redundancy
SuiteRep implemented a custom script deployed across three records in the intercompany transaction flow. The script uses a data map to determine which fields need to be synced at each stage, so the right data moves to the right place automatically.
The result is a process where users enter information once, and the system handles the rest. As Advanced Packaging advances through each step in their workflow, the relevant field data pulls forward from the previous transaction without any manual intervention.
The approach was both precise and efficient: a single script handling the needs of multiple records, configured to know exactly what to sync and when.
