If you use the projects features in NetSuite, then you probably want to use activity codes as well. The NetSuite activity codes enable users to categorize different aspects of their projects, which improves both reporting and budgets. Let’s take a look!
Activity Codes Overview
You can use the activity codes feature when you also have enabled the Advanced Project Budgets feature. With activity codes, you can set up a logical categorization for your project activities. You can also create global activity codes, which would allow you to use the same codes across your entire organization. Some of the things that can be classified by activity codes include transactions that are connected with your projects and related time entries.
You can enable the activity codes feature under the Projects section of the Company tab in Enable Features. And if you haven’t already enabled this feature, ensure that Advanced Project Budgets is also turned on. Then, save the page.
Creating NetSuite Activity Codes
After enabling the feature, how would you create activity codes? To create a new activity code in NetSuite, navigate to Setup > Company > Classifications > Activity Code > New. Then, provide a name for this activity code.
Notice that you’ll have the option of also setting a parent code for this code. If you need to have a hierarchical relationship between your activity codes, this will be a helpful feature. After naming the code and providing an optional parent code, save the record.
Using NetSuite Activity Codes
What does using activity codes look like in practice? You would have the option of applying these to a number of different records, including Time records, Sales Orders, Purchase Orders, Bills, Invoices, Projects, and Project Tasks, to name some the main ones.
On a record like a Time record, you would select the activity code somewhere on the main line of the record.
On a record like a Sales Order or Purchase Order, you would associate the activity code with individual items in the sublists. To do this, select the Items subtab on one of these kinds of records, find the item in the list that needs to be associated with the activity code and select the correct activity code for that item using the dropdown list.
