The Dilemma
Our client was running into difficulties carrying over changes to item description fields when they created a dropship Purchase Order from a Sales Order. Whenever they created a new Sales Order, each item would source the description from the item record. The client was desiring to manually change this description when creating a Sales Order. One would expect the description field to carry over the changes to the Purchase Order natively, but this was not the case. The Purchase Order would display the old description on the PO.
Our Solution
We initially explored several possibilities that could solve this problem. There had to be a way to copy description from sales order to purchase order. We arrived at a simple solution that satisfied the various requirements our client had. The best solution we found in this situation was to create a custom description field that would be hidden on the Sales Order record and the Purchase Order record. When the client enters a new description in the native description field on the SO, a script will populate the hidden custom description field. The great thing about the custom field is that NetSuite will natively copy the custom field to the Purchase Order. After you save the Sales Order and the creation of the dropship Purchase Order is initiated in the system, a script on the Purchase Order will copy over the Purchase Order’s custom description field to the native description field. Thus, the Purchase Order will always have the new description in the native field.
Conclusion
Sourcing sublist fields between records can be a tricky thing at times. In this situation we were able to adapt to our client’s needs, providing an efficient solution to this common problem.
